🔐 Security & Two-Factor Authentication

Enhance your account security with Two-Factor Authentication (2FA). This feature is available exclusively for System Administrators and Application Administrators.

What is Two-Factor Authentication?

Two-Factor Authentication (2FA) adds an extra layer of security to your administrator account. Even if someone knows your password, they won't be able to access your account without the second factor - a unique 6-digit code from your authenticator app.

💡 This is especially important for administrator accounts that have access to sensitive healthcare data and system controls.

How to Set Up 2FA

Follow these steps to enable Two-Factor Authentication on your administrator account:

  1. Access Security Center: Navigate to the System Administrator dashboard and click "Security Center" in the left sidebar under Platform Management.
  2. Start Setup: Click the "🔒 Setup Two-Factor Authentication" button in the Security Center.
  3. Get an Authenticator App: Download an authenticator app if you don't have one:
    • Google Authenticator (iOS & Android)
    • Microsoft Authenticator (iOS & Android)
    • Authy (iOS, Android & Desktop)
    • 1Password (Premium users)
  4. Scan the QR Code: Open your authenticator app and scan the QR code displayed on screen. Alternatively, manually enter the secret key shown.
  5. Verify Setup: Enter the 6-digit code from your authenticator app to confirm setup.
  6. Save Backup Codes: You'll receive 10 backup codes. Save these in a secure location - you'll need them if you lose access to your authenticator app.
✅ Once enabled, you'll need both your password and authenticator code to log in.

Backup Codes - Important!

When you enable 2FA, you'll receive 10 backup codes. Each code can be used once if you lose access to your authenticator app.

How to Store Backup Codes Safely:

  • Print them and store in a secure physical location
  • Save in a password manager (recommended)
  • Store in an encrypted file on a secure device
  • Never store them in plain text on your computer
⚠️ Without your authenticator app AND backup codes, you'll be locked out of your administrator account permanently.

Logging In with 2FA Enabled

Once 2FA is enabled, your login process will include an extra step:

  1. Enter your email and password as usual
  2. Open your authenticator app and find the 6-digit code for MediWatchers
  3. Enter the code within 30 seconds (codes expire and refresh every 30 seconds)
  4. Click "Verify" to complete login
💡 Tip: Keep your authenticator app easily accessible on your phone for quick login.

Security Best Practices

  • Never share your authenticator codes or backup codes with anyone
  • Use a strong password in combination with 2FA for maximum security
  • Keep your phone secure - use a PIN, pattern, or biometric lock
  • Update your authenticator app regularly to get security patches
  • Review backup codes periodically and regenerate if needed
